******************** HELP FOR "GENERATE INDEX" MENU ***********************
***************************************************************************
OVERVIEW: The "Generate Index" Menu includes options which enable you
to customize INDEX! operations for your particular needs, to
insert your index codes into your text files, and to strip
codes from previously-indexed files if necessary. The
individual menu options follow:
INDEX!: This is the main program. Choosing this option begins the actual
process of inserting the index codes (which you specified in the
"Terms to Index" Menu) into the Ventura text files (which you
selected in the "Files to Index" Menu). If you need to interrupt
the indexing of a series of files, you can hit the ESCAPE key,
and you will be given the option to stop indexing and exit as
soon as the current file is completed.
SPECIAL TAGS: Sometimes you may not want index codes to be inserted into
certain kinds of paragraphs or "tags" in your Ventura text
files (as for example with running heads or running feet,
where index codes would create final index page references
to every page on which the header or footer occurs). On
other occasions, you may wish to insert index codes ONLY
in certain paragraphs. Use this option to specify up to
twenty paragraph tags for special processing. Then use the
DEFAULTS / Process Special Tags option to tell Index!
whether to EXCLUDE the tags, INCLUDE the tags, or ignore
the list for any given indexing session. (Note: Body text
cannot be specified for this feature.
DEFAULTS: This option enables you to customize eight INDEX! features, as
follows:
1. Default Directory: Enter the name of the drive and directory
is to serve as the default directory for the identification,
location & use of Publications and/or Chapters to be indexed.
The default is the directory from which you ran INDEX!.
2. Default Extensions: Enter the file extensions should serve as
the defaults for INDEX! in choosing the text files to display
for indexing when reading .CHP files in the PUBLICATIONS
or CHAPTERS option of the "Files to Index" menu. Enter a list
of extensions like this: .TXT.CAP.DOC, etc. An extensionless
file is signified by the dot; that is, the entry ..TXT.CAP
will cause Index! to look for files with no extension, .TXT
files and .CAP files. The default is .TXT.CAP.
3. Rename Original Files: Answer YES if you want INDEX! to give
your original file names to the coded files it produces and
rename your original files with .IXT and .IXC (.CAP files
only) extensions. Answer NO if you want INDEX! to leave the
original files with the original names, and name the newly
indexed versions with the .IXT and .IXC extensions. If you
choose NO, you must later rename the indexed files before
your Ventura chapters will recognize them, or else you must
reload these files into the chapters. YES is the default.
4. Separate Entries for .CAP Files: Answer YES if you want INDEX!
to automatically create asterisked index entries for any items
it finds in the .CAP file. This provides an easy way to
highlight references to photos and other figures in the final
index. Answer NO if references from .CAP files should be
the same way as other references. The default is NO.
5. Index Cross References: Answer YES if you want INDEX! to
automatically search Ventura's cross reference codes (<$R...)
for text which should appear in your index. Index! codes will
be placed immediately ahead of the cross reference code.
Answer NO if you do not use cross references or do not wish
them to be indexed. The default is NO. Note that if you set
this option to YES, you may wish to take care in naming
variables which are part of cross reference codes, so that
variable names do not match SRCH expresssions in the Index!
database.
6. Interpret Leading and Trailing Spaces: Answer YES if you wish
Index! to interpret leading and trailing spaces in search
phrases by doing several searches, each of which will
substitute a different character which could reasonably exist
in the text in place of the spacebar. Answer NO if you do not
wish Index! to do multiple searches for expressions with
leading and trailing spaces. The default is NO.
When you choose YES, INDEX! automatically performs the
following alternative searches when it encounters leading
and/or trailing spaces in SRCH expressions:
For a leading space, INDEX! uses the spacebar plus these:
' > (
For a trailing space, INDEX! uses the spacebar plus these:
; ' : ) , . <
When there are both leading and trailing spaces, INDEX!
uses a subset of the two sets above, searching for every
combination of spacebars plus:
Leading: >
Trailing: , . <
7. Exclude Tables: Answer YES to exclude Ventura tables from
the indexing process. If you do not need to index your tables,
the YES option causes Index! to run somewhat faster. Also, if
you experience any difficulties in loading tables after
indexing, you should return to your original files and
reindex them with this option set to YES. If you answer NO,
Index! will index your table text in the usual way. (Note:
Index! always excludes all table formatting paragraphs from
indexing.)
8. Process Special Tags: Answer EXCLUDE if you wish Index! to
exclude from indexing any paragraphs which have any of the
tags you listed under SPECIAL TAGS. Answer INCLUDE to restrict
Index! to inserting codes in ONLY the paragraphs listed under
SPECIAL TAGS. Answer NO to make Index! ignore the special tag
list and process everything in the normal way. The default is
NO. (Note: Body text cannot be specified for this feature.)
CODE STRIPPER: If you add index codes to the wrong text file, or add index
codes which are incorrect, outdated, or in the way of
further editing, you can strip the codes from the text file
with this option, returning the file to its original
condition. You can either specify one file at a time for
code stripping or you can type in the word "ALL" instead of
a file name to strip all the text files in your current
project (as selected in the FILES TO INDEX menu). Files to
be stripped must be on the same disk drive as INDEX!.
HELP: This option provides the on-screen information which you are now
reading.
MORE HELP: If you would like to have more help online relating to the
GENERATE INDEX menu, you can edit the file "INGENMEN.HLP" in
any ASCII text editor, adding to or reshaping the material as
you see fit up to a maximum file size of 64K. Use spaces rather
than tabs to indent, limit line lengths to 76 characters, and
end each and every line with a carriage return.
